Responsibilities
Roles, Responsibilities, and Expectations

- Must be willing to collaborate daily with other JBW team members and a variety of industrial clients.
- Ensure guidelines and definitions are consistently applied across templates and documents.
- Review and verify all documentation, production records, and ensure the documentation complies with regulations and internal quality control practices for accuracy, completeness, and consistency in content, format, files, and authorizations.
- Process all drawings for construction and reference in compliance with documented procedures and maintain records of revision status.
- Compile and issue customer data packages per customer requirements and applicable quality standards.
- Maintain job information in Electronic Document Management System (EDMS)
- Follow document control procedure in transmitting and receiving documents.
- Responsible for filing and scanning documents, electronically or physical, and verifying purchase order, item number/description, material type, heat numbers, weld maps, heat maps, painting reports, traceability sheets, weld procedure, hydrostatic test and drawings revision are correct.
- Create and maintain document numbers including client and supplier numbers.
- Follow document control procedure in transmitting and receiving documents.
- Analyzes & controls all technical documentation related to department and project activities within contractual requirements and Company procedures (including confidentiality).
- Reviews document and transmittal quality according to check list for document control.
- Receives general instructions for routine projects and detailed instructions for more complex projects.
- Answer inquiries and respond to correspondence from inside and outside the company.
- Provide documentation support during internal audits, certification audits and management reviews.
- Respond to all requests for information (RFIs), change orders, and other communication regarding the project.
- Store and control archived documentation.
- Other job duties as needed.
Requirements
Minimum Requirements
- Associate’s degree or equivalent
- 2-3 years of relevant work experience in document control or administration.
Desired Background and Skills
Technical Proficiency
- Advanced computer and word processing skills using Microsoft Office programs, including Excel, Word, PowerPoint.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities and requests.
- Knowledge of industry standards and codes is preferred but not required.
Communication Skills
- Excellent leadership, writing, and verbal communication skills for effective collaboration with clients, project teams, and stakeholders.
- Ability to prepare and deliver technical presentations, reports, and proposals to communicate complex technical concepts effectively.
- Ability to manage multiple small projects simultaneously.
- Ability to manage clients.
